Entry Process (AUDE Members)

Eligibility

  • Only staff employed by AUDE member organisations are eligible to participate in these awards as nominees or nominators. AUDE members are the higher education institutions of the UK.
  • We will only accept one application per institution per category.
  • Nominees can be nominated for more than one award category, but a new form and registration must be completed for each submission.
  • Each nomination must be supported by the university director of estates (or equivalent).
  • Each award category is judged on predefined criteria, based on a points system. The judging criteria can be viewed on this page.
  • The AUDE Chair’s Long Term Contribution and AUDE Summer School Award are not open for submissions. 

Entry process

In order to submit your entry for one of the six award categories, simply click on the Enter here button. You will be taken to the applicant portal (hosted by Evalato), where you will be asked to register an account. Once you have registered, you can access the applicant portal in two ways:

  • by clicking on the Access your registration button or
  • via the registration confirmation email with a login link and a PIN.  This will be emailed to you once you have completed the registration form with your email address. You will also receive a personal link to your portal – keep this safe!

Please note only one application per category is permitted!

All entries must be written and submitted online using our awards platform (hosted by Evalato). Once you have created an account, you will be able to access all of your entries, dip in and out and see how you’re progressing.

We’ll ask for some information about you and your company and encourage our entrants to use their creative flair and provide a piece of supporting evidence. This isn’t mandatory and should only be used to support the information being held in the main online entry. There will also be a section to easily link URLs and videos.

Please do not use the video as a replacement for text in the entry boxes as all of these sections have marks to be gained. The video should only be used to support what you’re already saying in your entry.

Please upload your video to a hosting site such as YouTube or Vimeo and then paste the URL into the box indicated when completing your entry. Don’t forget to include any passwords in your entry if they’re required!

 

Working on your application

After you log into the Applicant portal, you will see your entry or entries listed on the left side under My entries. You can click on the entry you want to work on and fill out the respective fields and information, upload files, add links, etc.

Copying data across applications

You also have a copy from application option visible on the applicant portal that allows you to use data entered in another entry with the same application form fields to pre-fill the corresponding fields on the entry you are currently working on. If you have more than one entry you can copy the information from, you will need to select the one you want from a list. The system will then ask you to confirm your decision to overwrite the application data. 

Saving your application without submitting

You have the option to save your work on the applicant portal without submitting it for review and submit it at a later time. To do that, click on the Save as draft button at the top right corner of your screen. The system will display a message that the application was saved as a draft. 

You can resume working on your entries by clicking on the Edit button at the top right corner of your screen. 

Submitting and resubmitting your application

After you have finished working on your application and are ready to submit your entries for review, click on the submit button at the top right corner of your screen.

The system will display a confirmation message that your application was sent for review. 

If we need you to resubmit your application or make changes to it, you will see a Resubmission requested or Changes requested message on the Applicant portal. You can resume work by clicking the edit button and then resubmit by clicking the submit button. 

Adding an entry

You can add an entry/entries by clicking the Add entry button on the left side under My entries. Clicking on the button will open up a menu with options. Select the one you want and click Add entry

Each entry has a coloured circle next to it indicating its status as follows:

  • Orange — the entry has not been submitted, meaning, it’s either in draft, or changes or re-submission have been requested
  • Blue — the entry has been submitted for review but has not been reviewed yet; 
  • Green — the entry has been approved; 
  • Red  the entry has been rejected.

Points to note

  • Entries must be submitted by midnight on Friday 17 January 2025.  
  • Only one application per category is permitted.
  • The judges will meet in February 2025 to confirm the winners.
  • Those shortlisted for an award will be notified early March 2025 to book and attend the AUDE Awards 2025. 
  • Judges will be announced shortly.
